How to send personalised confirmation emails after a form submission

A useful confirmation email tells someone that their response arrived, what they submitted, and what will happen next. Personalisation is most helpful when it removes uncertainty rather than merely adding a name to a generic template.

Decide who receives a copy

In YetiForm's Send Email action, choose whether the respondent receives a copy when the form includes an email address. You can also add other recipient addresses for your team. Test with a real email field: a missing or invalid address cannot receive a respondent copy.

Write the subject and body

Use variables that correspond to your actual form fields. YetiForm shows available variables in the editor, so copy them from there rather than guessing the token. The {all-fields} token lists submitted answers on separate lines; {form-name} inserts the form name.

Test edge cases

  1. Submit a response with every field filled, then inspect the subject and body.
  2. Submit another response with optional fields blank and check how the email reads.
  3. Check that the respondent and team recipients get the intended versions.
  4. Keep private answers out of the subject line, which may appear in notifications or shared inbox previews.

Keep the promise realistic

A confirmation email tells people their submission was received. It is not proof that a human has reviewed it. State a response time only if your team can reliably meet it.
